What CelpMock collects about you, why, who else handles it, how long it is kept, and what you control.

Jump to a section
In short
  • We collect what is needed to run your practice: your account, your answers and recordings, your results, and a record of your purchases.
  • Writing and Speaking answers are marked by AI services that work for us. They may not use your answers for anything else.
  • A Speaking recording is deleted 90 days after its test. Practice answers are kept for 30 days.
  • Your card number goes to Stripe and never reaches us. Nobody sees you on the weekly board unless you turn it on.
  • We do not sell your data, and we show no advertising.
This summary is here to help. The full text below is what applies.

Who is responsible

CelpMock is run by FlowerEh Inc, in Ontario, Canada. In this policy, "we" means that company. It is responsible for the personal information described here, and the person in charge of privacy can be reached at support@celpmock.com.

This policy covers the CelpMock website, accounts, purchases, mock tests, practice, marking, results, the daily challenge, the weekly board and our emails. By making an account, buying a pass or using the site, you acknowledge that we collect and use information as described here. It forms part of the terms of use.

What we collect

  • Your account: your email address, your name, your password in a form we cannot read, whether your email address is confirmed, when the account was made and last used, and records of password resets. If you sign in with Google, we receive your email address, your name and your Google account identifier from Google.
  • Your settings: your target level, your test date, your time zone, your email choices, and whether you are on the weekly board.
  • Your work: the answers you choose, the texts you write, your Speaking recordings, the text that software heard in them, the time you took, and the levels and feedback you get.
  • Your activity: the tests and exercises you started and finished, the questions you have seen, the days you practised, your points, your streak and your badges.
  • Your purchases: which pass you bought and when, the amount, currency and tax, the payment's status, Stripe's identifiers for it, when the pass starts and ends, and any refund or added days. Your card number goes to Stripe and never reaches us.
  • Technical information: your IP address (kept in a scrambled form for security limits), your browser and device type, the pages and features you use, recordings of how you use our pages (see Usage statistics and page recordings), error reports, and security logs.
  • What you send us: your emails to us, and anything you attach, such as an official score report sent to ask for the 30 free days.
  • Records of our own actions: when a member of our team acts on your account, for example to make a refund, we keep a record of who did what and when.

We collect this from you directly, from your use of the site, from Google if you sign in with it, and from Stripe when you pay.

Speaking recordings and written answers

When you answer a Speaking task, your browser records your voice through your microphone, only while the task is recording, and sends the recording to us. We store it, send it to a speech-to-text service that turns it into text, and send that text to an AI service that marks it. Your Writing answers are sent to the same AI marking service. You can listen to your own recordings on your results until they are deleted.

We use your voice to mark your answer and to let you hear it again. We do not use it to identify you, and we make no voiceprint.

Keep private details out of your answers. Do not put sensitive personal information, government identity numbers, card numbers or another person's private information into a written answer or a recording. Once an answer has been sent for marking, we cannot take such details back out of it.

Why we use it

  • To make and protect your account, and to keep you logged in.
  • To run your tests and exercises, mark your answers, work out your levels, and show your results and progress.
  • To take payment, apply your pass, handle refunds, the 30 free days and payment disputes, and keep the records that tax and accounting rules require.
  • To send you emails about your account, your payments and your results.
  • To send practice reminders and news, only while those are switched on in your account.
  • To run the daily challenge, points, badges and the weekly board.
  • To count which pages and features are used, and to watch recordings of how our pages were used, so we know what to improve and can find faults. You can switch this off.
  • To check and improve our questions and our marking, using answers and results in a form that does not identify you.
  • To apply limits, prevent fraud and misuse, find and fix faults, and keep the site secure.
  • To meet our legal obligations, answer lawful requests, and enforce our terms and our refund policy.

Under Canadian privacy law, we collect, use and share personal information with your consent, for the purposes set out in this policy and for purposes a reasonable person would expect. Where the European or United Kingdom data protection rules apply to you, our legal grounds are the contract with you, our legitimate interest in running, securing and improving the service, your consent where we ask for it, and our legal obligations.

Automated marking

Your Listening and Reading levels are worked out by our software from your right answers. Your Writing and Speaking levels and feedback are produced by automated AI systems from your text, or from the text heard in your recording, the task you were given, and our marking guides. No person reads or listens to your answers as part of normal marking.

These levels are study aids. They are not official scores, and they have no effect on you outside your own practice on CelpMock.

If you want a person to look at a level or a piece of feedback, or want to know what led to it, write to support@celpmock.com and say which result you mean. Residents of Quebec have this right under Quebec's privacy law.

Who else handles it

We share personal information with the companies that work for us to run CelpMock. They may use it only to do that work:

  • Anthropic (United States): AI marking. Receives your Writing texts, the text heard in your Speaking answers, and the tasks they answer.
  • Groq (United States): speech-to-text. Receives your Speaking recordings.
  • Stripe (Canada and United States): payment, tax, refunds and fraud screening. Receives your email address and what you give it on the payment page.
  • Google (United States): signing in, only if you choose to sign in with Google.
  • Resend (United States): sends our emails. Receives your email address, your name and the content of the email.
  • PostHog (United States): usage statistics, recordings of how our pages are used, and error reports. Receives your account's identifier, never your name or email address.
  • MongoDB Atlas: our database.
  • Vercel: hosts the site and stores files, including your recordings.

We do not allow the AI services to use your answers to train their general models, and we set up our use of them accordingly where they offer that choice. This list can change; when it does, we update this page.

Other learners see nothing about you unless you turn on the weekly board. Then they see your first name, the first letter of your last name, and your points.

We may also disclose information to a court, a regulator, the police or our professional advisers where that is reasonably needed to comply with the law, to answer a valid legal request, to enforce our terms, to deal with a payment dispute, or to protect the rights, property or safety of our users, the public or ourselves. If CelpMock is sold, merged or reorganised, personal information may pass to the new owner, who must keep to this policy.

We do not sell your data. We do not share it for advertising, and we show no advertising on CelpMock.

Information that leaves Canada

Several of the companies above store or process information in the United States or in other countries outside Canada, and outside your own province or country. While it is there, it is subject to the laws of that place, and courts and authorities there may be able to obtain it. We use contracts with these companies to protect it. By using CelpMock, you understand that your information is handled in those places.

How long we keep it

  • Speaking recordings from a mock test: deleted 90 days after the test. The text heard in them, your levels and your feedback stay with your results.
  • Practice answers and their recordings: 30 days after they are scored.
  • Your results, your history and your account: until you ask us to delete them.
  • Records of purchases and refunds: at least 7 years, because tax and accounting rules require it.
  • Records of our own actions on accounts, and security logs: as long as needed to prevent fraud, settle disputes and answer regulators.
  • A note that you have unsubscribed from emails: kept so that we keep respecting your choice.
  • Recordings of how our pages were used: deleted after at most 90 days. Usage statistics and error reports: as long as they help us improve and fix the site.

Copies in our backups are overwritten in the normal course. Information that no longer identifies anyone may be kept without limit.

What you control

  • Change your name, target, test date, time zone and email choices in your account at any time.
  • Leave the weekly board, or switch off usage statistics and page recordings, in your account settings. Usage statistics and page recordings can also be changed from Cookie choices at the foot of every page.
  • Stop practice reminders or news with the link at the bottom of each of those emails; each link stops its own kind. We still send emails about your account, your payments and your results.
  • Ask for a copy of the personal information we hold about you, or ask us to correct it, by writing to support@celpmock.com.
  • Ask us to delete your account by writing to support@celpmock.com from the email address on the account. Deleting removes your results, recordings, points and badges for good, and it cannot be undone. A pass on a deleted account ends; the refund policy decides whether any money is returned.
  • After a deletion we keep the record of a payment, without your name or email address, because tax and payment rules require it.
  • Withdraw a consent you have given, where the law allows. If we need the information to provide the service, withdrawing may mean we can no longer provide it.

We answer within 30 days. We may ask you to confirm who you are first, and the law allows us to refuse or limit some requests, for example where a record must be kept.

Canada. If you are not satisfied with our answer, you may complain to the Office of the Privacy Commissioner of Canada, or to the privacy authority of your province.

Quebec. You also have the right to receive your information in a structured, commonly used format, and to be told about and ask for a review of a decision made only by automated means.

European Economic Area, United Kingdom and Switzerland. You may also object to or restrict certain uses, receive your information in a portable format, and complain to your data protection authority.

California. You may ask to know, correct or delete your personal information. We do not sell it and do not share it for advertising, and we do not treat you differently for using these rights.

Usage statistics and page recordings

These are two separate choices. You can switch on either one, both, or neither.

Usage statistics. While they are on, our analytics service, PostHog, counts the pages you open and the buttons you press, and measures how fast pages load.

Page recordings. While they are on, PostHog records how you move through our pages: where you click and scroll, and what appears on the screen. We watch these recordings to see where the site is hard to use and to find faults.

  • Everything you type is hidden in the recordings: your written answers, your email address, your password and every other field. Your name and email address on the account page are hidden too.
  • Recordings carry no sound: your voice is never part of them.
  • While usage statistics are on, what is counted and recorded is linked to your account by its identifier, so that we can follow one visit from page to page. With usage statistics off, recordings are not linked to your account. We do not send PostHog your name or email address.
  • Payment details are entered on Stripe’s own page, which is never recorded.

In the European Economic Area, the United Kingdom, Switzerland and Quebec, nothing is counted or recorded until you choose. Elsewhere, both are on unless you switch them off. You can change either one at any time from Cookie choices at the foot of every page, or in your account settings; the change takes effect at once.

When a page or our servers fail, we still receive a report of the fault, because we need to know when the site breaks. If usage statistics are off, the report does not say who you are.

Cookies

We use the cookies that are needed for the site to work: one that keeps you logged in, and ones that protect the log-in and payment steps. Your browser may also store small items on your device, such as an answer in progress, so that a test survives a reload. Stripe sets its own cookies on its payment page.

While usage statistics or page recordings are on, PostHog stores an identifier and the current visit in a cookie of ours, so that one visit can be followed from page to page. We also keep your two choices in a cookie for twelve months, so that we do not ask again; you can change them at any time from Cookie choices at the foot of every page. We do not use advertising cookies, and we do not track you across other websites. If you block the necessary cookies in your browser, you cannot log in.

Security

We protect personal information with measures suited to its sensitivity: encrypted connections, passwords stored in a form that cannot be read, recordings stored where only our servers can reach them, limited staff access, and monitoring. No system is perfectly secure, and we cannot guarantee that information will never be accessed, lost or disclosed. Use a strong password that you use nowhere else, and tell us at once if you think someone else has used your account.

If a security incident affects your personal information and creates a real risk of significant harm, we tell you and the authorities as the law requires.

Children

CelpMock is for people aged 14 and over. We do not knowingly collect personal information from children under 14. If you believe a child has given us personal information, write to support@celpmock.com and we will remove it.

Changes and contact

We may change this policy. When we do, we publish the new version on this page and change the date at the top. If a change matters, we tell you by email or on the site before it applies, and we ask for your consent again where the law requires it.
